The Town Square (aka the Exhibit Hall) will once again be the hub of activity for the 2024 Netroots Nation convention, which will be based at the Baltimore Convention Center. The Town Square offers registered convention attendees coffee and refreshment breaks, areas to lounge or play games, networking opportunities, shopping options, and most importantly, all of you!

The Town Square will be located on the first level of the Convention Center, Hall C. It will be right next to the registration booths and the General Session room (Hall A.) This is in the EAST side of the Convention Center.

This page gives you basic information about your Exhibitor Benefit Package as well as shipping, transportation, wifi, marketing your booth, etc.  If you have questions about your booth or need any clarification or information, we urge you to contact us.  We are happy to help and like hearing from you.

SHIPPING

There are two locations you can ship your booth materials to: the Advanced Warehouse or Direct to the Show Site.  We highly suggest shipping to the Advanced Warehouse since the window to ship to Direct to the Show Site is very short. Shipping labels for the Advanced Warehouse are in the Exhibitor Kit.

NOTE: You are permitted to carry any items in during Booth set-up hours. Commercial vehicles of any kind cannot be personally unloaded at the show site.

 

Ordering Booth Furniture, Electricity and Other Services: Reference the Exhibitor Kit to order any additional furniture and show services you might like beyond what comes with your booth package, including:

  • Additional tables or chairs
  • Electricity for your booth
  • Carpeting (booths will not be carpeted)
  • VPN lines for steaming internet (Basic wireless is provided for free in the Town Square. This will allow you to check emails, surf the net, etc.)
  • Freight handling

Stetson Convention Services will have a booth onsite near booth #600 in the Town Square if you need to order additional services or to assist you in outbound shipping. Stetson Convention Services booth will be open during these hours the week of Netroots Nation:

What Comes with Your Booth and Show Colors

Booth Drapes: 8′ High. Colors – Blue and White
One (1) 6′ Skirted Table (per 10 x 10 booth)
Two (2) Folding Chairs (per 10 x 10 booth)
One (1) Wastebasket
One (1) Booth ID Sign

Convention Location:  The convention will take place at the Baltimore Convention Center. The Convention Center is a 20 minute drive from BWI Thurgood Marshall Airport and a short ride using the Light Rail train system. If you are taking the light rail from BWI, the light rail can be found at door #19 at the airport. The airport is the terminus for that light rail. The closest light rail stop for the Convention Center is the “Convention Center” stop.

The Center is less than 2 miles from Baltimore’s Penn Station and can be reached within 10 minutes by taxi or ride share services.

The Baltimore Convention Center is not open 24/7. Only the Public Safety Entrance is open 24 hours. It is located before their loading docks, via South Charles Street (east side of the BCC).

The main entrance (Charles Street Lobby) is only open during actual published show/meeting/event hours, and may not be open during move-in/out dates and times. Reference this map of the convention center, and surrounding streets, for more information, especially if you are bringing items in through the loading dock.

Parking: The Convention Center recommends booking convenient and affordable parking in advance through SpotHero, the nation’s leading parking reservations app. To reserve your parking spot for the Baltimore Convention Center, visit the Baltimore Convention Center SpotHero Parking Page.

Loading Dock Location for move in/move out from your Car: The Baltimore Convention Center’s Loading Dock Area is passed the Public Safety booth, located on South Charles Street. It can be accessed by turning right onto South Charles Street from Pratt Street or making a left onto South Charles Street from Conway. The entrance to the loading dock area is located between the Center and the Sheraton Hotel at the entrance to the Public Safety Office. There will be a charge for Stetson Convention Services staff to unload your materials from your car and delivered to your booth. Look at page 34 of your Exhibitor Kit for pricing and more details of this service. Your car will be referenced as a POV. You CANNOT unload materials on your own from this dock.

Once exhibitors have loaded in/out their items, their vehicles will need to move and park elsewhere.

Wi-Fi: We will offer free wireless in the Town Square thanks to our wifi sponsor, Communications Workers of America. The wifi is good for basic web surfing and email.  If you need a faster connection, you can order it through the Convention Center. See Page 39 of the  Exhibitor Kit.

Catered Food at Booth:  Would you like to offer some snacks or drinks at your booth? Though no outside food or drink can be brought in to offer attendees, you can order items directly from the convention center. The new contact for catering is Levy Restaurants – Meaghan Bupp (mbupp@levyrestaurants.com.) Their menu can be found here.

Food Options for Staff at Convention Center: Food for staff’s personal consumption at the booth is fine with the convention center. There will be several options in and around the lobby area (next to the Town Square) starting at 8:00 am. Food carts will also be open at noon.

Masks: While we are not requiring that everyone mask at all times, we recognize that large gatherings are still unsafe for many, and the best way to keep each other safe is by masking while in indoor meeting rooms.

However, we are requiring everyone to carry a mask at all times (extra masks are available at Registration). If you’re speaking with someone wearing a mask, as a default, put yours on as well. If someone asks you to put on a mask, whether it is an individual with whom you are conversing or a presenter of a session, respect their request and mask up without delay.

Netroots Nation App. Our 2024 conference app is now available on the App Store and on Google Play. Do not forget to promote your booth on the Netroots Nation app (Social Wall feature) and by using the hashtag #nn24 in your social media feed. Make sure you are registered to access the app.

Town Square-Only Passes: If you have staff that will be working your booth, but have not paid for a registration, they will need to have a Town Square-Only pass. You should have received codes for these Town Square only passes from Carolyn Dulchinos. You received them when you received your regular registration code. If you cannot locate your Town Square only pass codes, please reach out to Carolyn.

Donation by Diversion Program: The Baltimore Convention Center partners with multiple local organizations to accept donated items at the end of the convention. If you have items to donate, please notify Linda Lee to have them picked up. Accepted items include: furniture, registration bags, office supplies (pens/paper), lanyards, unused clothing, unused water bottles, etc.

Marketing Your Booth: Needs tips on how to get attendees to your booth? Contact Linda Lee and she would be happy to suggest a few ideas. And don’t forget to use the conference hashtag #nn24 across your social media platforms to promote your booth before and during Netroots Nation.

If you’re a non-profit, here is an article with some good tips (except for #10, which doesn’t help your neighbor relations) about making the most of your booth experience.  And here’s some good advice for standing out on a budget.  Finally, if you’re interested in having a small catered event at NN, let Linda know and she’ll connect you with the staff you need to arrange this.

Attire:  To make it as comfortable as possible, we would suggest wearing layers when staffing your booth, in case the Town Square runs too hot or cold for your taste.

Security: We highly recommend taking any valuables with you, at the end of each day, to your hotel room.  This includes laptops, mobile devices, customer/member information, etc.

Beware of Scam: An email is being sent to exhibitors who seem to know you are participating in the NN convention and offer to sell you our list of attendees.  It is 100% fake and an attempt to access your financial information.  We do not share our full attendee list (nor your contact info), period. The email may even claim to be from NN, or working with NN, and use our logo. We encourage you to block the sender, delete the email, and report scammers to the U.S. Federal Trade Commission fraud division.
